Each filing period, you’ll see a small number of tasks in your Client Portal. These help us prepare and submit your VAT returns accurately and on time. Not every task will appear every period.
Task 1: Sales Data
This task is about telling us where and how you’ve made sales.
If you only sell on Amazon and your Amazon API is connected, you usually won’t need to upload anything. Just confirm this in the task.
If you sell outside Amazon, or don’t have an API connection, you’ll need to upload your sales data. You can do this in two ways:
• Use the AVASK sales template
This is best if you have a high volume of sales or are unsure which country a sale should be declared in. You can also include stock movements (goods moved between countries with no sale).
• Upload data manually
You can select the country and period and upload your sales invoices directly, following the on‑screen steps.
Once all sales for the period are uploaded, mark the task as completed.
Shopify stores
If you have a Shopify store connected, you may be asked to confirm monthly details. This is where you tell us: • if your fulfilment country has changed
• if you had any B2B sales in the month
If you don’t see this step, it just means no Shopify store is connected.
Task 2: Cost of Goods
This task applies if you move goods between countries.
When stock moves between countries, these movements often need to be reported on VAT returns. To do this, we need the cost of the goods.
What to provide: • the raw manufacturing cost of the product
• cost before shipping, packaging, or other add‑ons
If the system flags missing costs, it means the manufacturing cost hasn’t been uploaded yet. You can add or update costs individually or in bulk.
It’s a good idea to review costs regularly, especially if manufacturing prices change.
Once complete, mark the task as done.
Task 3: Input Data (Purchases, Imports, Stock Movements)
This task is about VAT you’ve paid or stock you’ve moved.
If you had no purchases, imports, or stock movements in the period, you can select “No”.
If you did, upload documents by country and period under the correct category:
Imports
Use this for goods imported into a country from outside that country.
Examples: • goods imported into the UK from outside the UK
• goods imported into the EU from outside the EU
Some countries also show “Postponed Import” options. These are for schemes like UK Postponed VAT Accounting (PVA).
Purchases
Use this for goods or services bought within the country.
Examples: • UK purchases for UK VAT returns
• EU purchases for EU VAT returns
For EU purchases, this can include cross‑border EU suppliers. You’ll need the supplier’s VAT number.
Stock Movements
Use this when you move your own goods between EU countries and ownership does not change.
For example, moving stock from one warehouse to another.
If we file in both the departure and arrival countries, we’ll reflect the movement correctly, as long as it’s uploaded once a filing period is open.
If you’re unsure where a document belongs, raise a support ticket and we’ll help.
Once all documents are uploaded, mark the task as completed.
Task 4: Review FBA Deliveries (if shown)
This task appears if you sell on Amazon and hold stock in EU FBA warehouses.
Amazon reports sometimes show stock arriving that isn’t clearly marked as coming from another Amazon warehouse. You’ll need to confirm whether each inbound movement is:
• a transfer (your own stock moved between warehouses), or
• a purchase (goods bought from another business)
Once reviewed, mark the task as completed.
If you don’t see this task, it just means there’s nothing to review for this period.
Final Step: Confirm Submission
Once all tasks are complete:
• review your draft VAT returns in the “Needs attention” section
• confirm you agree with the figures
• submit the returns
• make payments to the tax authorities if required, using the payment details shown
Once this is done, your filing period is complete.
